Middle School Secretary
Job Description
Purpose: The Middle School Secretary coordinates office and clerical support toassist with the efficient operation of the school building and district. To accomplish these tasks, the Middle School Secretary shall work closely with the staff and administration of the district.
Responsible to: Building Principal and Superintendent
Payment rate: According to Support Salary Contract
Qualifications:
- High school diploma or equivalent.
- Health and Inoculation Certificate on file in the central office (after employment offer is made).
- Two years experience as a secretary.
- Demonstrated typing and filing skills.
- Experience in using various computers and software programs.
- Desire to continue career improvement by enhancing skills and job performance.
Essential Functions:
- Ability to coordinate office and clerical support to assist with the efficient operation of the school and the district.
- Ability to ensure all activities conforms to district guidelines.
- Ability to communicate and work effectively and cooperatively with members of the school, district and community.
- Ability to react to change and frequent interruptions in a productive and positive manner, meeting deadlines as assigned.
- Ability to operate all equipment appropriately as required.
- Ability to work to implement the vision and mission of the district.
Physical Requirements/Environmental Conditions:
- Requires prolonged sitting or standing, and use of equipment including repetitive motions and computer eye fatigue.
- Must occasionally work in noisy and crowded environments, with numerous interruptions.
- Must be able to handle multiple tasks at one time efficiently and courteously.
General Responsibilities:
- Ability to coordinate and supervise office and clerical support.
- Ability to screen visitors and telephone calls, directing them to the appropriate person/department.
- Ability to screen and route incoming mail. Responsible for mailing any outgoing mail.
- Ability to compose, type, and copy correspondence, reports, bulletins, records, and other materials.
- Ability to obtain and organize pertinent data as needed.
- Ability to maintain an orderly filing system.
- Ability to schedule appointments, make travel arrangements, and assemble material for meetings.
- Ability to assist in planning meeting agendas, and assist in preparing meeting summaries.
- Ability to collect, report, and deposit money received by the elementary office.
- Ability to assist in preparing financial reports.
- Ability to assist with enrollment.
- Ability to coordinate the Parent Teacher Conference schedule.
- Ability to maintain accurate student cumulative folders.
- Ability to maintain accurate attendance records, and report attendance problems to the principal. Contact parents to confirm absences.
- Ability to prepare purchase orders, type checks, and prepare district requisitions.
- Ability to distribute office passes and notes as directed.
- Ability to maintain and submit a daily log of school hours completed.
- Ability to check and file lesson plans.
- Ability to report the honor rolls each quarter.
- Ability to assist with preparing student awards and organizing the end of the year awards assembly.
- Ability to assist with the preparation of the yearbook.
- Ability to schedule school pictures and re-takes.
- Ability to maintain an accurate inventory of student books and teacher materials.
- Ability to secure payroll information.
- Ability to administer first aid to ill/injured students in the absence of the school nurse according to school policy. Check for head lice.
- Ability to assist with calling substitutes, record staff absences, and submit staff reports to the principal.
- Ability to fill out the annual standard supply bid list. Place orders for materials needed according to the current budget, verify quantities delivered, and distribute to staff.
- Ability to keep current on new information, innovative ideas and techniques.
- Ability to observe and follow all school district policies at all times.
- Maintain and enter data into the student information system’s software program.
- Ability to respond to information requests in a cooperative, courteous, and timely manner.
- Ability to keep student and personnel information and records confidential.
- Ability to implement and follow all district health and safety policies, including all precautions of the Bloodborne Pathogens Exposure Control Plan.
- Report maintenance problems to the school custodians and district maintenance director.
- Track the Employee Absence Reports and send over to the district office for the attendance tracker.
- Attempt to collect any unpaid fees.
- Prepare a monthly newsletter to hand out to all of the students.
- Supervise students sent to the office.
- Update the district electronic calendar on the web site.
- Perform all other duties and assume all other responsibilities as assigned by the superintendent or his/her designee.
Term of Employment: Support contract, nonexempt from wage and hour
Evaluation: Performance effectiveness will be evaluated in accordance with Board of Education Policy.
